Job Description:

The Payroll Specialist reports to the Sr. HCM Operations Manager and, according to established guidelines, reviews and processes the multiple state payroll for all USA Vistex employees on a semi-monthly basis. Ensures accuracy of payroll input and reports, ensures accounting distribution and preparation of deductions and the payments/deposits of these deductions to the appropriate depository. Designs and maintains Business Intelligence reports (requiring basic programming skills) as requested by payroll.Responsibilities:Primary contact (payroll Help Desk) for all employees requiring assistance with all UKG payroll-required data input and employee maintenance functions, including state address changes. Calculates retroactive salary changes and sets up wage assignments, levies, and other court-mandated deductions as the law requires.Processes workflows received from HR and verifies that correct information was entered into the system by HR. Audits bonuses and commissions entered through pending pay and ensure each has the required supporting documentation.Runs and reviews required reports to ensure data accuracies, such as employee department and reporting segments, to resolve payroll issues before finalizing payroll.Register or close new state accounts when needed. Communicate with federal and state agencies to resolve tax discrepancies.Prepares all required payroll tax filings (941's), including semi-monthly payroll tax preparation, unemployment taxes, and reporting, adhering to a strict government-set timeline. Balances and monitors Monthly / Quarterly tax statements resolving discrepancies promptly to avoid penalties. Conducts year-end payroll procedures, including W-2 preparation and filing.Discusses payroll questions and issues with employees and managers, ensuring that Vistex policies and procedures are correctly followed; responds to employee inquiries promptly and promptly.Keeps abreast of current and revised payroll-related federal and state tax laws.Responsible for timecard information being accurate and complete for hourly employees.Calculates employee vacation, sick and personal time upon request.Design reports as requested by enterprise managers and audit requests from internal departments and external agencies.About us: The Vistex platform helps businesses finally get control of all their different promotions, rebates, SPAs, discounts, and other incentives. Excellent customer service skills, attention to detail, and high accuracy are also necessary.Must have strong verbal and written communication skills with all levels of employees, including senior management, as well as the ability to maintain highly confidential information.Intermediate Excel experience.Excellent data and computer skills are required. Must have above-average report writing skills using IBM Cognos Report Writer.Experience processing multi-site, multi-state payroll.4 year(s): Experience in the payroll/tax area of a mid to large corporation. Previous payroll federal and tax experience requires deep knowledge of current employment laws.PreferredExperience or familiarity with payroll accounting to address any potential recording issues.Experience with UKG (formally Ultimate Software) preferred.EducationRequiredAssociates or better
