Quality Systems Specialist

The Quality systems specialist is responsible for an effective management of change (MOC) infrastructure to ensure effective communication of process design changes and includes being the global gate-keeper for specification management and the associate MOC process.

About the role

The Quality Systems Specialist is the subject matter expert (SME) for anything related to PLM and the ECC Quality module and will act as a helpdesk for other business users (globally), responsible for the design and development of the Quality Management system infrastructure required to ensure the delivery of current and correct information to the correct people in a timely manner. This includes the global harmonization of new design and improvements to existing, system deployments based on business needs and inputs.

The position is the subject matter expert (SME) for translating quality business requirements to IS/IT and responsible for each new enhancement / change to test, approve and train all involved people.

Specifically, you will be involved with:

Quality & Food Safety Document management

  • Provide the infrastructure to store all quality & food safety related documents provided in a timely manner with the correct information to our internal and external customers.
  • Develop and maintain required documents for finished materials (including, but not limited to Specification sheets (internal and external), Safety data sheets, Product information sheets.

Spec and Master Data Management

  • Act as a gatekeeper for the Global specification management with global rules.
  • Standard spec management in PLM/ECC.
  • Manufacturing spec management in PLM/ECC.
  • Customer Spec management in ECC
  • Act as resource consultant and Subject Matter Expert for global specification and master data management.
  • Create and maintain Group inspection plans, create local Inspection plans.
  • Create, assign and maintain COA profiles (standard and customer specific).
  • Create and maintain customer specific shelf life requirements.
  • Create and maintain extra sentences on COA.
  • Create and maintain SDS.
  • Request masterdata changes and creations to GSS for finished products.
  • Mass recipe / mass BOM changes.
  • Follow up creation/changes in PLM/ECC with the according spec updates of the blends using the CI /HIBE.

Design infrastructure for Quality protocols to enable tech transfer and regulatory approvals (broader MOC)

  • Building quality into product and process design during ICD process to ensure on time, in budget, meeting quality specs manufacturing startup/tech transfer.
  • Building quality into product and process design / Streamlined processes using technology to capture customers’ needs, innovate, produce, test and deliver a perfect order of the “best value” product.
  • Will assist during different kinds of projects when needed related to master data, testing, training,

QM Module Help Desk Support

  • Act as a helpdesk for other business users for the PLM and Quality module, first line support.
  • Being super users for other systems/tools like Sharepoint / tracegain, Talquest.
  • Provide training were needed.

SAP – QM Module, PLM

  • Being the SME for both modules.
  • Translating quality business requirements to IS/IT and look for improvements within QM and PLM module.
  • Providing training within all T&L departments related to QM/PLM processes.
  • SAP – need to leverage more possibilities and simplifications within QM and PLM module
  • Participate in special projects as required.


  • Responsible to organize, lead and foresee the reports for the Quality MOC/QMM (FERTs and their packed material codes, Intermediates / HALBs).
  • Help with rolling out MOC for other departments.
  • Providing training within all T&L departments related to MOC/QMM process.
  • Design process to launch new products and work together with ICD/innovation and others to get an easier and more user friendly system to develop and launch new products.

What you’ll need to have

  • Bachelor's degree in a science-based area of study (Biology, Microbiology, Food Science, Chemistry) or Professional training with min. 5 years job experience within food industry.
  • 5-10 years food industry experience managing people and a minimum of 3 years of supplier quality related experience in the food industry.
  • Working knowledge of regulatory requirements in the food industry.
  • Working knowledge of SAP or other ERP systems.
  • Working knowledge of tools such as TraceGains, sharepoint.
  • Knowledge about quality methodology and certifications, for example HACCP, BRC, ISO.
  • Ability to read and understand supplier Technical Data Sheets.
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail.
  • Must be persuasive, willing to take initiative and possess adaptability.
  • Self-Motivated.
  • Strong cross functional communication skills with the ability to build good relationships with, Procurement, Regulatory, Sales, R&D, Technical Service, ICD and Applications.
  • Excellent organizational skills.
  • Good problem solving skills.
  • Good project management skills.


The team is spread globally but this role will be based out of our Hoffman Estates, Chicago office, but note, we are fully remote working until later this year, with only occasional travel into the respective offices for meetings, anticipated thereafter.
